TheraManager and DocuTrac Merge to Create the Premier Behavioral Health Solution

Newark, NJ and Hagerstown, MD, 25th August 2017: TheraManager, LLC, a Practice Management (PM) and EMR software and Revenue Cycle Management (RCM) services company has today announced its merger with DocuTrac, Inc. (maker of the QuicDoc® EMR and PM and Office Therapy® PM software). This merger represents two of the leading Behavioral Healthcare IT providers in the United States joining forces to bring their software and services to a broader base of Psychiatrists, Psychologists, Therapists, Counselors, Social Workers and Nurse Practitioners in Community Mental Health Centers, Private Practice, Hospitals, Universities, County and State Agencies, Substance Abuse Clinics, and Intensive Outpatient Facilities.

“The merger with DocuTrac is an incredible opportunity for both companies and for the industry”, said Russell Rothchild, CEO of TheraManager, LLC, who will remain as CEO of the merged company. “With twice the resources, we will be able to further accelerate growth, bring more product features to new and existing clientele, and explore new offerings, such as creating a group focused on Intensive Outpatient (IOP) practices. It will be a privilege to work with Dr. Schuster, a thought leader in the industry for over two decades. Our two complementary teams of software and support engineers and career medical billers will hasten our mission of helping Behavioral Healthcare clinicians get paid more and take notes faster.”

Dr. Arnie Schuster, PhD, CEO, DocuTrac, Inc., who will remain as Chairman of the merged company said “With the merger now complete, we look forward to combining the best features from our PM/EMR product with TheraManager’s product and their successful RCM services to create a unique all-in-one offering. From my first meeting with Russ, it was clear to me that we both view the market the same way. To address the explosive growth in the Behavioral Healthcare industry brought about by healthcare reforms, we are seeing a growing number of IT companies launching PM/EMR products. As the industry continues to mature, the most successful companies will be those organizations with a deep rooted culture of customer service.”

August 2017 EMR and PM Newsletter

Simplify Your Life

This excerpt is from our August 2012 Newsletter written by James Miller DocuTrac’s Director of Compliance and Quality Control. It’s both timely and worth repeating.

The first week in August is national ‘Simplify Your Life Week.’ Sounds good, doesn’t it? It is a good time to step back and take stock of your life. Sometimes just clearing away household or office clutter can make a difference. On a more personal note, simplifying your life allows you to take the pressure off of yourself. You can do this by saying “No” more often to those time and resource draining tasks that have no lasting benefit. You can also relieve some pressure by delegating more; don’t take on the responsibility for “everything.” But most importantly, simplify by finding time to relax.

Turning off the news, taking long walks, communing with nature, and slowing down the hectic pace of life is a good thing to do throughout the year. You may even find yourself smiling more.

When a Provider leaves your Practice or Agency

securityWhen someone in your practice or agency terminates employment or contractual obligations, and you no longer want them to have access to patient and provider records, it’s important to make the provider/user inactive in your software.

If you are a Cloud customer, contact our Sales Department as soon as possible to have Cloud credentials deleted for terminated individuals. Inactivating or disabling credentials for terminated providers and office personnel will lock them out of the system and help to prevent breaches. If the individual had e-Prescribing rights, call DocuTrac to disable their account so they can no longer prescribe medications through your practice or agency.

LockoutAdditionally, if the terminated individual has access to other logon credentials, such as other active providers or office assistants, then those passwords will need to be changed in order to assure the lock out of unauthorized individuals. See the section below on the repercussions of failing to terminate and monitor users’ rights of access as required by HIPAA rules.

Call DocuTrac Sales at 800-850-8510 to have Cloud and e-Prescribing accounts disabled.

Client Reviews

like1With so many people sharing their experiences on the web, both good and bad, there’s no way to control what your clients may post in a review about your services.

You can, however, gain insight on their views to find out what is working well and where improvements are needed by surveying your clients towards the end of therapy. This allows you to not only minimize negative postings on the web, but to gain market leverage.

QuicDoc® Professional and Enterprise software both have a built-in Patient Satisfaction Survey for just this purpose. The survey assesses the following:

    • Access to Care
    • Physical Surroundings
    • Technical Quality
    • Outcomes
    • Interpersonal Care/Communication
    • Overall Satisfaction.

Social Security Number Removal Initiative

SSNHere’s some advance information about changes regarding the use of Social Security Numbers.

The Medicare Access and CHIP Reauthorization Act of 2015 (MACRA) requires us to remove Social Security Numbers (SSNs) from all Medicare cards by April 2019. A new randomly generated Medicare Beneficiary Identifier (MBI) will replace the SSN-based Health Insurance Claim Number (HICN) on the new Medicare cards for transactions like billing, eligibility status, and claim status.

You can prepare for this change by visiting the overview and provider web pages, which include information on:

  • Transition period
  • Characteristics of the MBI
  • How to obtain the MBI

It’s time to look at your practice management systems and business processes and determine what changes you need to make to use the new MBI.
