As you read our January newsletter, our support staff takes a deep breath, but only for a moment. Having survived the initial rollout date of the new ANSI 5010 electronic claims standard, we still see many bumps ahead during this first quarter, and our support staff will remain very busy.

DocuTrac personnel, working as a team, will help get those of you who are e-filing with Office Therapy up and running smoothly.

  What's New- Knowledgebase

We have created a new knowledgebase (kb) with updated articles. The kb is designed as a self service repository for useful information. This updated kb has advanced search features, as well as featured articles and videos. The articles can be rated, and you can easily print, email, convert to PDF, Ask a Question, Subscribe to Updates, and add articles to your Favorites list.

  QuicDoc Enterprise: Did you Know?

When using an electronic signature device in QuicDoc Enterprise, you can set up text to accompany the signature of a client or other third party individuals, such as a parent or guardian, who signs notes or treatment plans.

For example, the following text ‘By signing this document, I am agreeing with the treatment plan as prescribed by my treatment team.’ can be used for client signatures.

From the Setup menu, select Signature Messages to enter text to appear with signatures. You can designate one as a default Signature Message.

  Office Therapy and E-Filing

If you are filing electronic claims, please visit the new 5010 Page on our web site. Here you will find information on the 5010 set up, a Support Form for claim rejections, and a link to our new knowledgebase.

  Security

When backing up or transporting any confidential patient information or data, an encrypted transportable media device (USB Flash Drives) is crucial. If you are not using an encrypted transportable media device, a significant risk of harm may affect those patients whose data is located on the device. This could also involve the significant cost of having to notify everyone about a breach.

Buying FIPS (Federal Information Processing Standard 140-2) certified transportable devices (USB Flash Drives) could save you the hassles involved if one is lost or stolen. The benefit of using a certified device far outweighs the cost of these devices.

  IRS Mandate for Providers Accepting Credit Cards

Effective for tax year 2011, IRS Section 6050W requires Merchant Service Companies, such as TransFirst, to report gross amounts of processing volumes for all merchants. This includes health care providers who accept credit card payments.

TransFirst Merchant Services is sending out Form 1099K this month to all customers who are processing payments through TransFirst.

As a result of the new requirements, merchants must provide valid tax identification number (TIN) and tax filing name to their merchant service company. If the IRS provides notification that there is a discrepancy in the information, the reporting entity will be required to withhold tax on the merchant’s future funding amounts starting January 2012.
